EMBER (Adelgade 11, 1304 Copenhagen K, hereafter "we", "us" or "EMBER") takes the protection of your personal data seriously. This policy describes what personal data we collect, how we use it, and what rights you have as a data subject.
Data controller
EMBER is the data controller for personal data collected via embercph.dk and during planning and execution of events. Contact us at info@embercph.dk with any questions about your data.
What information do we collect?
When you fill in the contact form or book an event, we process the following:
- Name
- Company (optional)
- Email address
- Phone number
- Event type, guest count and date
- Free-text message field with your wishes
- IP address and timestamp of submission (security purposes)
We only collect the information you provide yourself. We don't buy data from third parties.
Why do we process the information?
Personal data is processed on the following legal bases:
- Contact enquiry — to be able to contact you and prepare a quote (legitimate interest, GDPR Art. 6(1)(f)).
- Booking and contract — to fulfil the agreement on event execution (Art. 6(1)(b)).
- Bookkeeping — to comply with the Danish Bookkeeping Act (Art. 6(1)(c)).
- Statistics and improvement — anonymised website usage (consent via cookie banner, Art. 6(1)(a)).
How long do we keep data?
- Contact enquiries without booking: deleted after 12 months.
- Booking data and contracts: retained for 5 years per the Bookkeeping Act, then deleted.
- Google Analytics statistics: stored for 14 months and anonymised.

Who is the information shared with?
We only share information with third parties where strictly necessary to deliver services:
- Simply.com (web hosting and email — Denmark)
- Google Workspace / Google Analytics (communication and statistics — EU/USA, covered by Data Privacy Framework)
- Bookkeeper and accountant (only for booking and invoice data)
We never sell personal data to third parties.
Your rights
You have the right at any time to:
- Access what information we process
- Have incorrect information corrected or deleted
- Withdraw your consent
- Have your data delivered in a common format (data portability)
- Complain to the Danish Data Protection Agency, datatilsynet.dk
Email info@embercph.dk if you wish to exercise these rights — we respond within 30 days.
Security
The website uses HTTPS encryption. Personal data is stored on EU servers and protected against unauthorised access. Access to contact requests is limited to relevant staff.
Changes to this policy
We may update this policy. Major changes are communicated on the website at least 14 days before they take effect. The "Last updated" date at the top shows when the policy was last changed.
